What documentation we supply with a machine, with a service job and for a tender — manufacturer datasheets, authorisation letters, EPL references, field verification certificates and destruction registers.

Field verification test certificate

Measured field strength of your machine against its specified value, taken with a calibrated instrument at commissioning. This is the document that answers "how do you know it works?"

Statement of the standards and listings the model meets, with the NSA/CSS EPL reference where applicable.

Manufacturer warranty terms and start date for the machine as supplied.

Record

Commissioning & training record

Installation, commissioning and operator training record, naming the operators trained.

With an AMC

  • Periodic field-strength verification readings, recorded against the machine's specification.
  • An annual verification / calibration certificate.
  • A written service report with findings and parts replaced.
  • Capacitor bank health assessment with a remaining-life recommendation.
  • Interlock and safety function re-verification record.
  • Operator refresher training record.

With a service or destruction job

  • Destruction register — one row per asset, with per-cycle verification value.
  • Volume reconciliation — assets in, assets destroyed, exceptions with reasons.
  • Machine verification certificate for the machine used on the job.
  • Authorised e-waste recycler documentation for the scrap.
  • Signed certificate of destruction.
  • Client custodian countersignature, where the client attends.

For a tender

  • Channel authorisation letter addressed to the procuring organisation.
  • Authorised-distribution declaration in the buyer's required format.
  • Specification compliance matrix, mapped line-by-line to the tender sheet.
  • NSA/CSS Evaluated Products List reference for the model.

What certificates do you supply with a degausser?
The manufacturer datasheet, compliance statement, our channel authorisation letter, and a field verification test certificate issued at commissioning. Where the model is NSA/CSS listed, the EPL reference.
Do you issue a certificate after every degaussing job?
For service engagements, yes — a destruction register, a volume reconciliation with exceptions, the machine verification certificate and a signed certificate of destruction. For owned machines, the commissioning certificate plus the AMC verification certificates.
What is a field verification certificate?
It records the measured field strength of the machine against its specified value, taken with a calibrated instrument. It is the evidence that the machine is performing to specification, which is what an auditor asks about.
Do you sign a non-disclosure agreement for certificate purposes?
Yes. NDAs and mutual NDAs are routine for bank, financial and government engagements, and we execute your form.
Can you backfill certificates for an existing installation?
If the machine is a Proton unit in the supported range and has been maintained, we can arrange an inspection and issue a verification certificate. Send us the model and serial number.
